To help forms and medical documents be accepted and processed quickly, please follow the guidelines below when uploading files through Operoo.
Best Option: Digital or Scanned Documents
Whenever possible, avoid taking a photo of documents.
-
Request a digital PDF from the provider when available. PDFs are the most readable and upload best into school systems.
-
Use a flatbed scanner if you have access to one. This ensures documents are flat, evenly lit, and distortion-free.
Using Your Smartphone (Preferred Over Photos)
If you do not have a scanner, use your phone’s built-in scanning tools instead of the regular camera.
-
iPhone: Notes app → Camera icon → Scan Documents
-
Android: Google Drive → “+” → Scan
-
Scanning Apps: Microsoft Lens or Adobe Scan
These tools automatically crop, straighten, and improve contrast for better readability.
If You Must Use Your Camera
If scanning is not an option, follow these tips carefully:
-
Use natural light near a window and turn off the flash to avoid glare
-
Place white documents on a dark background for better contrast
-
Hold your phone flat and directly above the document
-
Make sure there are no shadows covering the page
-
Keep your hands steady to prevent blurry images
Final Check Before Uploading
Before submitting your document, confirm that:
-
All text is clear and readable when zoomed in
-
All four corners of the document are visible
-
The file is saved as a PDF whenever possible
Clear, legible, and properly formatted documents help prevent delays and ensure your student-athlete’s paperwork is approved quickly.
